How to Create your first Workspace

A Roteam workspace is your community's command center. It's tied to a single Roblox group and gives you a private dashboard where you and your staff can manage rankings, applications, time-off, schedules, activity tracking, and more. One Roblox group = one workspace.

Step 1. Sign In and Go to "New Workspace"

After signing in, you'll be prompted to create a workspace if you don't have one yet, or you can navigate to New Workspace from your dashboard.

Roteam will automatically fetch all Roblox groups your account is a member of. Groups you own appear at the top of the list.

Note: Roteam only fetches groups your Roblox account is linked to. If you don't see your group, make sure you've connected your Roblox account in your profile settings first.

Step 2. Select Your Roblox Group

Pick the group you want to manage. For each group you'll see:

  • The group emblem/icon

  • The group name

  • Your rank within that group

Important: Each Roblox group can only be claimed by one workspace. If someone has already created a workspace for your group, you'll see a warning. If this happened without your authorization, contact Roteam support.

Step 3. Fill In Workspace Details

After selecting your group, you'll be asked to fill in:

Choose from: Restaurant, Cafe, Bakery, Retail, Military, Hotel, Prison, or Other

Description

Optional — a short description of your community

The Community Type helps Roteam tailor features and defaults to your type of group. For example, a Military group may use ranks differently than a Restaurant.

Step 4. Select Roles to Track

Roteam fetches all roles from your Roblox group (excluding Guest, rank 0) and asks you to select which ones to track.

Tracked roles are the ranks whose members Roteam will sync and manage. You should generally track:

  • All staff ranks and above (e.g., Trainee, Staff, Supervisor, Manager, Director)

  • Any rank that will use Roteam features

You do not need to track customer/civilian roles unless you want them in your system.

Tip: You can always change which roles are tracked later in Settings → Tracked Roles.

Step 5. Review & Confirm

The final step shows you a summary:

  • Your selected group and workspace name

  • Which roles you're tracking

  • Estimated tracked member count — Roteam counts actual members across your selected roles in real time

Large communities: If your group has more than 5,000 tracked members, you'll be directed to reach out to [email protected] for a tailored setup.

Confirm your details and click Create Workspace.

After Setup

Once your workspace is live, Roteam will automatically sync your group members in the background. You'll start seeing your staff populate in the directory, leaderboards, and activity logs within a few minutes.

Tips

  • One group, one workspace — you can't attach the same Roblox group to multiple workspaces

  • Your account is automatically set as the workspace Owner with full permissions

  • You can invite staff to your workspace once it's created — they'll get access based on their Roblox role and the permission groups you configure

  • Workspace name and description can be edited anytime in Settings → General
